The type of personal information we collect

We currently collect and process the following information:

  • Customer employee contact details of those using FirstStage
  • Job details provided to us by customers
  • Job applicant name and contact details
  • CV and other files relating to your job application
  • Other application data submitted in online forms or by chatting to an AI agent
  • The interview transcript between yourself and the AI interviewer (if applicable)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Your IP address, cookie identifier and other internet identifiers when you visit our web application
  • You have applied for a job to a company that uses FirstStage as part of their recruitment process
  • You are a customer of FirstStage and have provided your personal information to us

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Your full name, contact details, CV and other application data from the company you have applied to if they have received your application directly or via a third party

As a job applicant, we will share your application data, derived summary information and assessment of your application with the company you have applied to. We will share your application data to third party data subprocessors that we use to provide our service.

We may share session data including interview transcript with Hotjar. We share session data including clicks and other page interactions with Google Analytics.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information is that we are pursuing a legitimate interest or providing our service to you. We process your information to:

  • Provide a service that you've asked for under a contract
  • provide, maintain and improve our services to meet the needs of our users
  • Develop new products and features that are useful for our users
  • Understand how people use our services to ensure and improve the performance of our services
  • Customise our services to provide you with a better user experience
  • Protect against harm to the rights, property or safety of OpenDigital Limited, our users or the public as required or permitted by law, including disclosing information to government authorities
  • Perform research that improves our services for our users and benefits the public
  • Fulfil obligations to our partners like developers and rights holders
  • Enforce legal claims, including investigation of potential violations of ours Terms of Service

Our Data Processing Agreement details how we operate as a data processor for our customers.

How we store your personal information

Your information is securely stored. We use at rest and in-transit encryption whenver handling your data.

As a customer, we keep your information for up to 12 months after ending our data processing agreement with you.

As a job applicant, we keep your information for 180 days or for the length of time the company recruitment process is open for the role, whichever is longest, so that we may provide our service. You may request for us to hold your data for longer so that you may be matched with future opportunities.

We will then dispose of your information by securely destroying it from our databases and cloud-based infrastructure.

How we process your personal information

As a job applicant, the information you submit in your application can be used by our customers to assess your suitability for a role.

Automated rules to progress or reject your application may be set by our customers. These automations can work in a number of ways:

  • Single choice or multiple choice answers to questions in your application may be used to determine your suitability for a role, e.g. checking if you have the right to work in a country.
  • AI and in particular Large Language Models (LLMs) may be used to look for evidence of experience in your CV or application responses.
  • LLM technology is not used to make a judgement on suitability but rather to identify and extract information from application data.
  • For each role criteria will either be marked as met or unmet, depending on whether a specific answer is matched (or not matched), or whether certain evidence has been provided or not.
  • Based on our customers priority of the criteria and automation settings, an application may be progressed or rejected automatically.

Your application data is presented to our customers as a profile including the information you submitted, summary of criteria met or not met, and an aggregate weighted score. Our customers may use this information to support their sifting and screening decisions.

Your application data is not used to train the AI models that we use to provide our service.

We may also transfer your application data to our customers systems.
